Running at a working collection centre

Milk in at the counter. Farmers paid right.

MilkTrust keeps the books of a village milk collection centre. Milk is entered twice a day and priced from the centre's own fat rate chart. Payments run every ten days, after advances. Every farmer can open their own statement on their own phone.

What it does today

Everything a collection centre runs on, in one place

Every feature here is running at a working collection centre. Nothing on this page is a plan.

Milk collection, morning and evening

The operator types the card number, the litres and the fat reading. The price comes from the rate chart, so nobody works it out by hand.

  • Last four days beside the boxes. A wrong reading is caught while the farmer is still at the counter.
  • Keeps working offline. Entries wait on the device and go up when the network returns, never twice.
  • Cancel with a reason. A mistake is cancelled and entered again, never quietly deleted.
Payday, worked out

Move the sliders and watch the statement change

This is the sum MilkTrust works out for every farmer every ten days: milk priced by fat, less any advance. This example keeps the milk the same every day and uses a sample rate chart.

Who uses it

Three roles, each with their own screens

The owner sets who does what. Everyone signs in to the same system and sees only what their role allows.

A day at the centre

The shape of the work, morning to payday

  1. Farmers bring milk

The operator types the card number, the litres and the fat reading. The farmer's last four days show alongside, so an odd entry stands out straight away.

  2. The price is worked out

The fat reading is looked up on the centre's rate chart and the amount is calculated on the server. It is not done on the device and not done by hand.

  3. Cans go to the buyer dairy

What leaves the centre is recorded against the buyer, session by session. Local cash sales are recorded too.

  4. Again, the same way

Evening entries sit in their own column, so morning and evening never get mixed up on a farmer's history.

  5. Payment runs

Each farmer's milk for the period, less any advances, goes on a statement that prints on A4 and shows on the farmer's phone.

Built for a village, not an office

Made for a patchy network and real money

Works when the network doesn't

Milk entry goes on without a signal. What is waiting is sent when the signal comes back, and each entry is counted only once.

Any phone, any PC

The same data on every device. Install it to the home screen and it opens like an app.

Exact to the paisa

Every amount is kept as an exact decimal from entry to statement, so totals never drift by a paisa.

Nothing quietly deleted

Milk, advances, sales and cans are cancelled with a reason, never deleted. Every change is recorded.

Each centre's data kept apart

A centre sees only its own farmers and milk. Each farmer sees only their own.

Readable at 5 a.m. and at noon

Light and dark themes, so the screen is easy to read in a dim shed or in sunlight.

Questions

What centres ask first

What happens if the internet goes down during collection?

Milk entry keeps working. Entries are kept on the device and sent when the network returns. If an entry is sent twice by mistake, it is still saved only once.

How is the price of the milk decided?

From the centre's own rate chart, by fat reading. The amount is worked out on the server, not on the phone.

We changed our rates. What happens to milk we already entered?

Nothing. You add a new chart from the date it starts. Entries saved before that date keep the price they were given.

How do advances work?

You record an advance against the farmer, and it is taken off at the next ten-day payment. If the advances are more than the milk money, the payment sheet shows what the farmer still owes. A wrong advance is cancelled with a reason, not deleted.

Can farmers see their own records?

Yes. Each farmer signs in on their own phone and sees their own statement, their payments and the rate chart. They never see anyone else's.

Can we print or export?

The payment sheet downloads for Excel. Statements, the payment register and one slip per farmer print on A4 as a PDF.

Does it read the milk analyser or the weighing scale directly?

No. The operator types the litres and the fat reading from the machine. On a farmer's card, their last four days sit beside the boxes, so a reading that looks wrong is easy to spot.

Which devices does it run on?

Any recent phone or PC with a browser. The same data is on every device, and it can be installed to the home screen so it opens like an app.
